Terms and Conditions

Registration
To apply for an educational programme (e.g. course or camp) by Polymind, the interested person or their legal representative must first send an inquiry to Polymind. The easiest way to do this is through the registration form linked in the course directory. This is just a non-binding inquiry; neither the interested party nor Polymind assumes any obligation thereby.
Following the inquiry, Polymind will send a personalized offer containing all information for finalizing the registration. This includes payment details for the specific educational programme. The registration is only binding once Polymind has received the necessary deposit within the specified period. The exact amount and deadline for the deposit are provided in the personalized offer sent to the interested party following the inquiry.
Payment
Payment is usually made in two parts. The first part is the deposit with which the interested party confirms registration for the educational programme (see above). It is usually due immediately after receipt of the registration documents. The second part is the remaining amount. It must be received in full in Polymind’s bank account within the deadline specified in the registration documents. The deadline for this is typically one week before the course starts. Payment modalities may be different in some cases.
Polymind reserves the right to deny the booked service to the customer if they fail to meet their payment obligation as specified in the registration documents. Furthermore, Polymind reserves the right to commission a debt collection company to collect any outstanding payments on behalf of Polymind. The associated costs and fees are to be borne by the customer owing money.
The standard method of payment is through a bank transfer to a bank account in euros. Transaction fees are not included in the course fees; any such charges (including currency conversion) are to be borne by the customer. Alternative payment methods are only permitted following prior individual agreement.
Cancellation
The cancellation conditions specified in the registration documents apply. Typically, cancellation is free of charge up to 61 days before the start of the booked service; up to 31 days before the start of the booked service, the cancellation fee is 40% of the total price of the booked service; up to 15 days before, it is 60%; between 14 and 0 days before the start, it is 80%. Deviations from these rules, either stricter or more lenient, are possible and will be communicated in the registration documents if necessary.
In the event that the payments made by the customer do not cover the cancellation fee, the customer is obliged to pay the remaining amount of the cancellation fee within a period of 14 days. Polymind reserves the right to commission a debt collection company to collect any outstanding payments on behalf of Polymind if the customer does not meet their payment obligation. The associated costs and fees are to be borne by the customer owing money.
If the payments made by the customer exceed the cancellation fee, Polymind is obliged to refund the difference to the customer within 14 days.
Withdrawal from Contract
Consumers who booked a service outside the premises of Polymind have the right to withdraw from their contract within 14 days. You can find further details in our right of withdrawal information.
Course Cancellation
Polymind reserves the right to cancel educational programmes due to a low number of participants or unforeseen circumstances. In such cases, Polymind will do its best to offer the customer an equivalent alternative. This could be, for example, private lessons for the same value as the booked service. If it is not feasible or the customer declines, Polymind is obliged to refund the course fees already paid to the customer within 14 days.
The customer expressly agrees that, in the event that a course, camp or other educational programme does not take place, the accept the refund of the paid course fees as adequate compensation and waive any further claims for damages against Polymind.
Programme Changes
Polymind reserves the right to make short-term changes to the advertised programme. This includes, for example, changes due to weather conditions, changes due to ticket unavailability, etc. In such cases, Polymind will provide an alternative programme. Polymind does not incur any damages in such situations.
Absences
If the customer is unable to participate in a booked group course, Polymind does not incur any liabilities, even if the inability to participate was communicated in advance. This also applies if the customer is unable to attend due to circumstances beyond their control (e.g. illness, visa rejection, etc.).
If the customer is unable to attend a private lesson, they need to inform Polymind at least 48 hours in advance. In this case, the booked private lesson can be moved to another time. If the customer fails to notify Polymind of their absence within this period, the scheduled lesson will be forfeited. In such cases, the customer is not entitled to a replacement or reimbursement.
In the case of private lessons, the customer purchases a number of lessons in advance. The price offered depends on the number of lessons booked. A refund for unused lessons is not possible.
Dangers
The customer is aware that certain activities involve inherent risks, particularly excursions, trips, and other leisure activities. Polymind does not assume any responsibility for injuries occurring in the context of these activities.
Minor Persons
If an educational programme is booked for a minor, registration must be completed by a legal guardian (e.g. a parent). Polymind does not assume any responsibility for minors participating in the educational programme. The responsibility remains with the legal guardians. In the case of younger course participants, it is the responsibility of the legal guardian to supervise them.
Behaviour
The course participants must behave in such a manner that allows for the proper conduct of the course. Polymind reserves the right to expel disruptive participants from the course. If a participant is expelled from the course due to their behaviour, they forfeit any claims against Polymind.
Damages
If a customer causes any damage or excessive soiling, they are liable to pay compensation. This also applies if the damage was not intentional, but only due to carelessness or an unfortunate accident. Polymind may determine the amount of compensation through estimation. The reimbursement of costs is not limited to material costs alone; time and logistical costs required for the repair may also be passed on to the responsible party.
Polymind reserves the right to commission a debt collection company to collect any outstanding payments on behalf of Polymind if the party responsible for the damage does not meet their payment obligation. The associated costs and fees are to be borne by the responsible party owing money.
Animals
Bringing animals to courses or other activities is not permitted, unless it is a guide dog which the course participant depends on.
Accompanying Persons
Bringing along people not registered for the courses or other activities is generally not permitted, unless their presence is necessary for fulfilling their parental duty of supervision.
Disclaimer
Polymind does not assume any liability for customers’ personal belongings. This includes, but is not limited to, damages or theft. Furthermore, Polymind does not assume any liability for individual learning success; the responsibility for this lies solely with the course participant themselves.
Data Protection
By registering for or using any of Polymind’s service, the customer expressly agrees to our privacy policy.
Place of Jurisdiction
To the extent permitted by law, the contracting parties agree to designate Vienna as the place of jurisdiction for all disputes arising from or in connection with these Terms and Conditions.
